How to Read a Merchant Statement in Under Five Minutes

What do the fees on a card reader statement actually mean?

A merchant statement has three layers and only one of them is negotiable. Interchange goes to the card-issuing bank and is set by Visa and Mastercard. Assessments go to the card networks. The processor markup is the part your provider keeps, and that is the only line anyone can lower for you.

Any provider who offers to cut your rate without separating those three is quoting you a number, not a structure.

Which lines should you look for?

  • Effective rate — total fees divided by total card volume. One number, the whole story.
  • Monthly service or statement fee, often $10 to $30 and pure markup.
  • PCI compliance fee, sometimes annual, sometimes monthly, occasionally both.
  • Batch fee, charged every time you settle the day.
  • Non-qualified surcharges, which is where tiered pricing hides its margin.

What is a normal effective rate?

Most small businesses land somewhere between 2.5% and 3.5% all-in. Above that there is usually room to move; below it you are already being priced fairly and switching is not worth the disruption. Work it out before you take a sales call, because it is the only figure that makes two offers comparable.

Why is tiered pricing worse?

Because the provider decides which bucket each transaction falls into. A rewards card, a corporate card or a keyed-in sale gets reclassified as mid or non-qualified, and the headline rate you were quoted applies to a shrinking share of your volume. Interchange-plus shows the real cost and a fixed markup on top.

What is the PCI non-compliance fee?

A monthly charge applied when your annual compliance questionnaire has not been completed. It is avoidable, it is often $20 to $40 a month, and a surprising number of businesses pay it for years without knowing the form exists.

Does equipment rental appear here?

Often, and it is worth isolating. Terminal rental is frequently billed inside the processing statement, which makes a cheap-looking rate more expensive than it appears.

What to do next

Take your last statement, find total fees and total volume, and divide. Bring that single percentage to any conversation about switching — it cuts through every sales pitch in about thirty seconds.
